WE PROCURE INTERNATIONAL LTD — PRIVACY POLICY
Last updated: 17 June 2026

1. Who we are

We Procure International Ltd ("WPI", "we", "us" or "our") is a procurement advisory practice registered in England and Wales, VAT number GB428475177, with its registered office at 1 Cedar Office Park, Cobham Road, Wimborne, BH21 7SB, United Kingdom.

This policy explains what personal data we collect through weprocure.org, why we collect it, how we use it, and the rights available to you. It applies to visitors and prospective clients in the United Kingdom, Italy and the wider European Union.

2. Data we collect

2.1 Information you provide directly

When you use our contact form, we collect the information you choose to submit: your name, email address, phone number, company name, the subject and content of your enquiry, and any file you choose to attach (up to 64 MB).

2.2 Information collected automatically

When you visit our website, certain technical information is collected automatically through cookies and similar technologies, including your IP address, browser type, device type, pages visited, and referring website. Where analytics tools such as Google Analytics are active on this site, this information may also be used to understand how visitors use our website in aggregate.

We only set non-essential cookies, including analytics cookies, after you have given your consent through the cookie banner shown on your first visit. You can withdraw or change that consent at any time; see Section 7.

3. How we use your data

- To respond to enquiries submitted through our contact form
- To assess and discuss potential advisory or interim management engagements
- To maintain accurate business records, including in our client relationship management system
- To understand, in aggregate, how visitors use our website, so that we can improve its content and structure
- To comply with our legal and regulatory obligations, including accounting and tax requirements

4. Legal basis for processing

Under the UK General Data Protection Regulation and the EU General Data Protection Regulation, we rely on the following legal bases:

- Legitimate interests, for responding to enquiries and managing our prospective and existing client relationships
- Consent, for the use of non-essential cookies and analytics tools such as Google Analytics
- Legal obligation, where we are required to retain records for accounting, tax or regulatory purposes

Where we rely on consent, you may withdraw it at any time without affecting the lawfulness of processing carried out before withdrawal.

5. Who we share your data with

We do not sell your personal data. We may share it with:

- Service providers who support our operations, including our website and customer relationship management platform provider (Odoo), and our email and analytics providers (including Google, where Google Analytics is active)
- Boero Guadagnini, where a matter requires legal input and you have been informed of this
- Professional advisers, regulators or authorities, where required by law

Some of these providers may process data outside the United Kingdom or the European Economic Area, including in the United States. Where this occurs, we rely on appropriate safeguards recognised under UK GDPR and EU GDPR, such as Standard Contractual Clauses, to ensure your data continues to receive an adequate level of protection.

6. How long we keep your data

We retain enquiry and contact data for as long as is necessary to respond to your enquiry and, where a business relationship develops, for the duration of that relationship and a reasonable period afterwards to meet our legal, accounting and tax obligations. Where you have not engaged us following an initial enquiry, we will retain your contact details for a limited period to allow for follow-up, after which they will be deleted or anonymised unless you ask us to retain them for longer.

7. Your rights and cookie choices

Subject to applicable law, you have the right to request access to, correction of, deletion of, or restriction on the processing of your personal data, to object to processing carried out on the basis of legitimate interests, and to request a copy of your data in a portable format.

You can manage cookie preferences on this website at any time by clearing your browser's cookies for this site and revisiting it, which will show the cookie banner again, or through your browser's own cookie settings.

To exercise any of these rights, contact us using the details in Section 9. If you are not satisfied with our response, you have the right to lodge a complaint with the UK Information Commissioner's Office (ico.org.uk) or, for matters concerning our Italian office, the Garante per la protezione dei dati personali (garanteprivacy.it).

8. Security

We take appropriate technical and organisational measures to protect the personal data we hold against unauthorised access, loss, or misuse. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

9. Contact us

If you have questions about this policy or how we handle your personal data, contact us at info@weprocure.org or +44 1223 931015.

10. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in applicable law. The date at the top of this page indicates when it was last revised. We encourage you to review this page periodically.
